9. During the shoot, the production assistant will assist the producer with small tasks as well as have a basic knowledge of lighting and camera to assist the DoP with set up.

10. The production team will rent a passenger van that will accommodate crew and equipment so that we can quickly move from location to location.

11. Airfares are included for Director, line producer, DoP, and sound recordist. The rates we’ve included allow for air-travel that’s as direct as possible and anticipates potential fare increases by the airlines. The crew expects to fly coach class.

12. Per diems are industry standard cash allowances for crew to handle personal needs during travel.

13. This line anticipates the need to drive many miles during the course of producing this project.

15. Production will provide lunch for crew, interview subject and VA Education Specialist.

16. Production will provide dinner for crew, interview subject and VA Educations Specialist.

17. The budget allows for modest hotel stay while the production crew is on the road.

18. Camera rental accounts for a 10 day rental of the HVX200 as well as camera accessories such as matte box, lens filters, tripod and fluid head. The standard definition version rents for
$100 per day less but offers much less quality and is less efficient because it shoots to tape rather than being a digital workflow.

19. Sound rental allows for the sound Recordist’s equipment.

20. Lighting rental provides for a small light package that will be sufficient to light a wide variety of scenes. Lights will be rented in Boston.

21. Download Rig is the computer system on which the video data is downloaded to while shooting. The rig includes a laptop and a hard drive that provides automatic back-up capability.

22. This line provides for additional P2 cards. A P2 Card is the device that the video data is stored on during shooting. This device replaces tape. While shooting, data is downloaded from the P2 card to a hard-drive via the download rig. Capturing a one hour interview requires additional P2 cards.

23. Petty Cash provides all of the miscellaneous transactions that occur on traveling film shoots, i.e. tips for baggage handlers, bellman, coffee for crew, extra batteries for a mic, excess baggage fees, etc.

24. Insurance is required for equipment and vehicle rental.

25. We’ve included a stipend for the Veterans who participate in the production. Some may be required to take time off from work. The stipend will help to reduce an financial sacrifice the Veterans to need to make to participate. We anticipate that some Veteran’s might refuse the stipend. If so, we would like to donate those funds back to the VA.

26. During post-production the Director will creatively oversee post-production. He will work both editors to craft the story. At this point, he will have an intimate knowledge of the subject matter and the content and therefore will be a critical component to culling down the footage into clear and concise stories that are on point.

27. The post supervisor manages the scheduling of the editors, client requests and communications, milestones, interfacing with Hotbed’s post-production vendors such as our sound finishing studio, caption vendor, music vendor, motion graphics artist and transcription service.

28. The budget allows for two editors to edit over a period of 20 days simultaneously. This will shorten the amount of time before final videos can be delivered.

29. The budget allows for two edit suites to host the edit sessions. The videos will be edited on Apple’s Final Cut Pro. Hotbed will provide the edit suites.

30. The budget provides for four dedicated hard drives for the project. We expect to shoot approximately 30 hours of footage which requires two hard drives and their respective back-ups.

31. The Graphics line provides for a graphic artist to design and produce title graphics and low thirds.

32. The music will either be scored or licensed depending on the type of music we can source. Ultimately our goal is to find the appropriate music. Sometimes that comes from music that’s already produced and if we don’t find music that is appropriate we create original music. The amount provided in this budget allows us the flexibility to pursue both approaches.

33. The audio mix is a critical step in creating professional sounding audio. Our post-production sound vendor edits and smoothes dialogue, equalizes the dialogue so that it sound consistent, mixes the music and dialogue levels and finally optimizes the audio tracks for Internet audiences.

34. A transcription of the final videos is required for close captioning.

35. The final web videos will be closed captioned and made 508 compliant by an outside vendor.

36. Hotbed will compress the video to the client’s specification. Compression will take approximately 2 days.

37. The budget allows for any stock or archival footage that might need to be purchased to support the Veterans’ stories. It also allows for the digitizing of any photos, videos, or film that the Veterans can provide to us to use in the videos.

38. During post-production, editors tend to work through lunch or work late. Working meals allows for Hotbed to provide meals to our post-production staff.

39. Hotbed charges a 25% production fee. We’ve discounted the production fee by 5%.
